List Holiday Requests

Use the holiday request list to review `staff_vacation` calendar events for Harbor Soho by date range, employee and pending-only view.

In this article

The holiday request list is the manager review surface for staff holiday records in the selected location. It keeps employee, status, dates and notes together so a supervisor can inspect requests before moving into approval or rejection flows.

For the GB demo, use Harbor Demo Group and Harbor Soho. When captures need seeded examples across pending, approved and rejected states, keep the range in 2026 and use staff examples such as Olivia Hart, Mason Reed, Noah Stone and Ava Price.

Before you start

  • You are signed in with Harbor Demo Group and Harbor Soho selected.
  • Your role can view holiday records for the selected location; management roles should also include view access.
  • Staff names and the employee selector require staff view access.
  • The selected date range contains `staff_vacation` calendar events. For demo captures, use the 2026 range when seeded holiday examples are needed.

Instructions

  1. 1.

    Open the holiday request list

Open `/calendars/vacations/requests`, usually from the home holiday request task with `pending_only=true` or from the holiday calendar list button. The screen needs a selected organisation and location, plus holiday view or manage access.

  2. 2.

    Set the date range

Use the date range filter to decide which holiday requests are included. If the route does not include `from` and `to`, the app uses the current client calendar year; for Harbor Soho demo captures that need seeded records, use 2026.

  3. 3.

    Review the table rows

Read each row by employee, status, dates and notes. Pending or requested rows are shown as pending, accepted or approved rows as approved, and rejected rows as rejected.

  4. 4.

    Filter by employee

Use the employee selector to narrow the already-loaded rows to one staff member, such as Olivia Hart. The calendar events request still loads holiday events for the date range; the employee filter is applied in the screen.

  5. 5.

Switch between pending and all requests

Use the pending-only checkbox to move between the approval queue and the full holiday list. When selected, only pending or requested rows remain; when cleared, approved and rejected records can appear too.

  6. 6.

    Refresh and read empty states

Use the table refresh action when the operator needs fresh request rows or staff labels. Empty states distinguish loading, no pending requests and no holiday requests in the selected view.

Validations and limits

  • A selected organisation and location must exist before the list can be shown.
  • The frontend allows entry with holiday manage or view access, but the backend includes `staff_vacation` events only when holiday view is granted.
  • Staff labels and the employee selector depend on `GET /staff` succeeding, which requires staff view access.
  • Date route params must be valid `YYYY-MM-DD` values; the backend calendar event request requires `from` and `to` and rejects inverted ranges.
  • `pending_only` accepts booleans or the strings `true` and `false`, but it is not sent as a backend calendar-events filter.
  • The employee route param is accepted only when it matches an option loaded in the staff selector; otherwise the screen clears it.
  • The screen always requests `kinds=staff_vacation`; pending-only and employee filters are applied locally after loading events.
  • Do not treat the legacy `staff_vacations` model as the source for this screen, and do not include approve, reject, edit or delete actions in this listing guide.

Expected result

The manager can review Harbor Soho holiday requests in one table, understand which rows are pending, approved or rejected, and adjust the range, employee and pending-only filters without changing the underlying backend calendar event query.
