Search the user directory
Find existing regular users by name or email before inviting them to Harbor Demo Group or Harbor Soho. The search is read-only: it returns directory candidates and does not create users, memberships or invitations.
In this article
The Invite users modal helps an access manager confirm that a person already exists as a regular Antylogic user before starting an invitation flow. It is a lookup step, so it is useful for checking names, emails and available candidates without changing membership data.
The same lookup appears from organisation access and location access, but the directory itself is resolved in the organisation context. Use it to prepare an invitation, then stop before selecting users or pressing Invite when documenting this action.
Before you start
- You are signed in with Harbor Demo Group selected.
- You have `users:manage` in the organisation context. Location-level `users:manage` can show Invite user in Harbor Soho, but the directory request still requires organisation-level `users:manage`.
- For the location branch, Harbor Soho is the active location.
- Open `organization/access?tab=users` or `location/access?tab=users` and start from the Users tab.
- To see candidates, the search text must match an existing non-internal user by email or full name, and that user must not already be visible on the current users table page.
Instructions
- 1.
Open the Users tab
Open organisation access for Harbor Demo Group, or location access for Harbor Soho, and stay on the Users tab. Invite user is shown only when the current permission context allows `users:manage`.
- 2.
Open Invite users
Select Invite user. The modal title is Invite users and it includes Search by name or email, selected and available counters, candidate rows, and an Invite (0) button that stays disabled until a user is selected in a later invitation flow.
- 3.
Enter a search term
Type part of an existing regular user's name or email. The UI trims the text and waits briefly before sending the directory request, so blank or whitespace-only searches do not run from the standard UI.
- 4.
Review available candidates
When matches load, review each candidate's avatar, name, email and checkbox. In Harbor Soho, the modal can also show the organisation-member count or filter, but the candidate search still comes from the organisation-scoped directory.
- 5.
Handle no matches
If the modal shows No users available, try another confirmed name or email, or verify that the person already exists as a regular Antylogic user. This search cannot create a user from a free email address.
- 6.
Stop before invitation
For this guide, stop once candidates or the no-results state are visible. Selecting candidates and pressing Invite belongs to the separate organisation or location invitation actions.
Validations and limits
- The directory request runs only when `selectedOrgId` exists, the modal is open, `users:manage` is available and the trimmed search value is not empty.
- The API surface is exactly `GET /api/app/{orgId}/users/directory?query={query}`; there is no location-scoped directory route.
- The backend also trims `query` and matches it case-insensitively against user email or full name.
- The endpoint returns `User[]`, not a paged response.
- Users whose primary provider is `internal-credentials` are excluded from the directory.
- The UI removes users already visible on the current users table page, but this is not a full duplicate-membership check across every page.
- The action is read-only: it does not assign roles, permissions, staff records or memberships, and it does not send invite notifications.
Expected result
The operator has confirmed whether matching existing users are available for invitation, with no user, membership or notification changes made by the directory search itself.
