Manage service staffing

Define the roles needed for a service, assign employees to cover those roles, and review coverage warnings before saving the staffing plan with the full service.

In this article

Service staffing in Antylogic is part of the service form. Managers define the roles a lunch or dinner service needs, then attach employee schedules to that same service so the staffing plan stays connected to the calendar.

Coverage badges compare assigned employees with the minimum and recommended counts for each role. They help the team spot gaps before service starts, while still letting managers save an intentional staffing plan.

Before you start

  • The operator is working in Harbor Demo Group at Harbor Soho, or another location with an existing service calendar.
  • The operator can view and manage services. Saving employee schedules also requires permission to manage staff schedules when the service is saved.
  • Staff roles and active staff exist for the location, such as Olivia Hart, Mason Reed, Noah Stone and Ava Price in the GB demo.
  • The service or selected occurrence has not started.
  • For public services, the title, time range, floor plan and catalogue are already complete.

Instructions

  1. 1.

    Open an editable service

Open the service calendar and edit an unstarted service such as Soho lunch service. The same staffing tabs are available when creating a new service.

  2. 2.

    Check the service basics

Confirm the title, visibility, start and end time. For a public service, also confirm that the floor plan and catalogue are selected before saving.

  3. 3.

    Add required roles

Open Required roles, add a requirement, choose the staff role, then set the minimum and recommended number of people needed for that role.

  4. 4.

    Assign employees

Open Staff and add employee schedules for the service. Select the employee and confirm the role attached to each planned assignment.

  5. 5.

    Set timing and notes

Choose relative timing when the schedule should move with the service, or absolute timing when it should keep fixed start and end times. Add notes when the employee needs shift context.

  6. 6.

    Review coverage

Use the coverage badges and detail popover to compare assignments with the minimum and recommended staffing levels. Below-minimum coverage is shown as a problem; below-recommended coverage is shown as a warning.

  7. 7.

    Save the service

Save the full service form. Staffing is saved with the same service record, including service details, role requirements and employee schedules.

  8. 8.

    Choose recurrence scope when needed

For a recurring service, choose whether the change applies only to the selected service or to future services from that occurrence onwards.

Validations and limits

  • The event must belong to the current location and must be a service event.
  • A service or occurrence that has already started is read-only and cannot be saved.
  • Each required role needs a staff role, and the same role can only appear once on the service.
  • Minimum and recommended counts must be whole numbers of at least 1 in the UI.
  • Each employee schedule needs an employee, a role and a valid time range.
  • Relative schedules require start and end offsets; absolute schedules require start and end timestamps.
  • Coverage warnings and problems are operational signals, not hard save blockers.
  • Employee schedules are saved through the service save flow or recurring scope flow, not through a separate staff schedule edit screen.

Expected result

The service is saved with its staffing requirements and employee schedules, and Antylogic can show coverage warnings when the plan does not meet the configured role targets.
