Send Invoice By Email
Send an already issued TPV invoice to the email saved in its billing details, record the delivery attempt, and mark the invoice as sent when delivery succeeds.
In this article
Use this guide when a Harbor Soho operator needs to email an invoice that has already been issued from a paid TPV ticket.
The ticket screen sends to the email stored on the issued invoice. It does not offer an edit field for a different recipient, so the billing details used when the invoice was issued matter.
Before you start
- You are signed in to Harbor Demo Group and working in the Harbor Soho location.
- The TPV ticket exists in Harbor Soho and already has a non-void issued invoice.
- Your user can invoice in TPV or manage tickets for the location.
- The invoice billing snapshot contains a recipient email, such as soho.demo@harbor.example.com for Harbor Soho Demo Ltd.
- The documentation runtime has email delivery and invoice document storage enabled, or a prepared email delivery attempt for capture only.
Instructions
- 1.
Open The Invoiced Ticket
Open the Harbor Soho TPV ticket detail for the already paid and invoiced ticket. The invoice panel should be visible with the ticket totals and invoice actions.
- 2.
Check The Saved Recipient
Confirm that the invoice was issued with billing details that include an email address. On an existing invoice, the screen uses the email saved in the invoice billing snapshot.
- 3.
Send Or Resend The Invoice
Select Send by email. If the invoice already has an email delivery attempt, the action appears as Resend by email and creates a new attempt instead of replacing the old one.
- 4.
Confirm The Result
After a successful send, the app refreshes the ticket and shows that the invoice was sent by email. The invoice is marked as sent with a sent date recorded by the system.
- 5.
Review Delivery History
Use the invoice delivery history in the same invoice panel to verify the recipient, email channel, mailer provider, date, status, and any error message for failed attempts.
- 6.
Know The Automatic Send Case
When issuing a new invoice from a paid ticket, the app can send the email automatically if the selected billing details include an email address. After that, the ticket may show Resend by email.
Validations and limits
- The action is available only when the ticket has an invoice, the invoice is not void, the user has invoice or ticket management access, and a recipient email is available.
- The recipient is trimmed and comes from the request payload or, when omitted, from invoice.billing_snapshot.email.
- If the invoice document file is missing, the backend must be able to generate and attach the PDF before sending.
- Fiscal checks can block delivery even when the email address is present.
- A backend without mailer or file storage cannot complete the real send action.
- A successful email creates an invoice_delivery_attempt with channel email, provider mailer, and status sent.
- If the mailer fails, the failed attempt is stored and the invoice is not marked sent by this action.
Expected result
The customer receives the stored invoice document by email, the ticket keeps an auditable delivery attempt, and the invoice is marked as sent when delivery completes successfully.
