Manage staff POS credentials

Create or update the credentials staff use to identify themselves in POS. Each credential belongs to Harbor Soho, links to an existing staff member, supports selector, PIN, or card access, and can optionally be limited to selected POS terminals.

In this article

Staff POS credentials control who can identify themselves at the till without sharing access between locations. In Harbor Soho, managers use this guide to link selector, PIN, or card access to a named staff member.

Use this flow when you need to grant POS access, change a credential label or status, restrict a credential to selected terminals, or review how staff identification is configured. PIN and card values are write-only and should not be documented as visible after saving.

Before you start

  • Harbor Demo Group and Harbor Soho are selected as the active organisation and location.
  • You can open POS settings for Harbor Soho.
  • The staff member already exists at Harbor Soho and is active in the staff selector. Demo staff include Olivia Hart, Mason Reed, Noah Stone, and Ava Price.
  • To create or save credentials, your user has location-level `tpv:manage`. View-only access may show the page but should not allow changes.
  • For PIN or card credentials, have the credential value ready. PIN credentials must be exactly 4 characters.
  • Have at least one POS terminal available when documenting terminal restrictions. Leaving the terminal selection empty is valid and means the credential is unrestricted within the location.

Instructions

  1. 1.

    Open Staff Credentials

Open POS settings for Harbor Soho and select Staff credentials. Use the list to review existing credentials, their linked staff member, credential type, active status, and available row actions.

  2. 2.

    Start A Credential

Select New credential. The create form opens with a credential type from the route when supplied, or from the POS employee access mode when available. If neither applies, the form defaults to PIN.

  3. 3.

    Choose Access Type

Select the staff member and choose selector, PIN, or card. Use selector when staff identify themselves by choosing their name, PIN when they enter a four-character code, and card when they identify themselves with a card code.

  4. 4.

    Set Label And Terminal Access

Add an optional label such as `PIN floor` to help operators recognise the credential. In allowed terminals, select the POS terminals where the credential may be used, or leave the field empty so it works on every Harbor Soho terminal.

  5. 5.

    Save The Credential

Keep Active enabled if the credential should work immediately, then create or save it. Antylogic scopes the record to Harbor Soho, validates the selected staff member and terminals, refreshes the credential list, and returns to the previous POS settings surface.

  6. 6.

    Edit Or Deactivate

Open an existing credential from the list to change its label, type, terminal restrictions, or active state. Use deactivation when access should stop but the record should remain visible. Deletion belongs to the separate `tpv.staff-credential.delete` guide.

Validations and limits

  • The credential is always scoped to the current location; operators do not choose or type `location_id` in this form.
  • `staff_id` is required and must refer to a staff member in Harbor Soho.
  • `credential_type` must be `selector`, `pin`, or `card`.
  • Selector credentials do not show a code field because the selected staff member becomes the credential reference.
  • PIN and card credentials require a code before saving. PIN values must be exactly 4 characters.
  • PIN and card codes are secret write-only values and should not be shown as saved detail data in documentation.
  • Leaving `allowed_terminal_ids` empty is valid and means unrestricted terminal use. Every selected terminal must belong to Harbor Soho.
  • The current UI requires entering a PIN or card code before saving a non-selector edit, even though the backend can preserve an omitted existing secret value.
  • Create and update require `tpv:manage`. Backend list/detail access can require `tpv:manage`, `staff:manage`, or `staff:view`.
  • A duplicate credential type for the same staff member or a duplicate active secret code can fail validation.

Expected result

Harbor Soho has an auditable staff POS credential record. Active credentials can be used for POS identification, inactive records remain available for review, and terminal restrictions control where the credential works.
