View a Staff Member's Calendar
Open the operational calendar for one staff member at the selected location and review rota, service schedules, holidays, leave, location closures and applicable holiday blackout periods in one read-only view.
In this article
Use this guide when a location manager or planner needs to review one employee's availability before making staffing decisions. In the GB demo, the example is Olivia Hart at Harbor Soho.
The staff calendar is a consultation flow. Opening it, changing the date range or refreshing it does not create, edit or delete calendar events.
Before you start
- An organisation and location are selected, such as Harbor Demo Group and Harbor Soho.
- The route or navigation entry identifies the staff member to review, such as Olivia Hart via STAFF_ID.
- The user has at least one applicable location-level view permission for staff schedules, shifts, holidays, leave or holiday blackout periods.
Instructions
- 1.
Open the staff calendar
Open Calendars, go to the staff calendar area, and choose the employee whose calendar you need to review. The employee link opens LocationStaffCalendar for that staff member.
- 2.
Choose the planning range
Use day, week, month or year view depending on the planning task. Dates are interpreted in the location timezone, so Harbor Soho uses Europe/London. Invalid mode or date parameters are ignored.
- 3.
Review the employee schedule
Read the events shown for the employee. The staff preset combines staff shifts, service-derived schedules, holidays, leave, applicable holiday blackout periods and location holiday closures, subject to the user's view permissions.
- 4.
Refresh recent changes
Use refresh when recent rota, leave or holiday changes should be pulled into the calendar. Refresh is still read-only and only reloads the visible range.
- 5.
Open details only when needed
Selecting an event opens its detail or edit surface, with read-only behaviour controlled by separate management permissions. That follow-on interaction belongs to calendars.open-event.
Validations and limits
- The event query only runs when organisation, location and page-view permission are present.
- With staff_id present, staff shifts, staff schedules, staff holidays and staff leave are filtered to that employee.
- Shared holiday closures and blackout periods are included only when they apply to the selected employee.
- If the route is opened without staffId, the implementation does not show a dedicated error and may list permitted staff events without an employee filter.
- If mode is not day, week, month or year, the screen opens in month view. Invalid startDate or firstVisibleDate values are ignored.
- The backend only returns event kinds allowed by the user's view permissions. If no requested kind is permitted, the result is empty.
- The app first tries the calendar-events feed endpoint and falls back to the classic calendar-events endpoint when the feed fails in a recoverable way.
Expected result
The operator sees one staff member's operational calendar for the selected range, with the relevant staff and location constraints combined in a read-only planning view.
