Edit Manual Attendance

Correct an existing attendance event for Olivia Hart at Harbor Soho by changing the recorded start or end time. In edit mode the employee and attendance source stay read-only, so the record keeps who worked and how it was created.

In this article

Use this guide when a manager needs to adjust the time on an existing staff shift after the record is already visible in Attendance or a staff calendar.

The edit is made through the calendar event editor for `staff_shift` records. It updates the existing event instead of creating a new shift, and it preserves source values such as `manual`, `clock_in`, `import` or `correction`.

Before you start

  • The operator is signed in to Harbor Demo Group with Harbor Soho selected.
  • An existing attendance record for Olivia Hart belongs to Harbor Soho and has an employee assigned.
  • The record is a `calendar_events` entry with `kind='staff_shift'` and valid start and end times.
  • The operator has `staff-shifts:view` to load the record and `staff-shifts:manage` to save changes.
  • Use `staff:view` when the screen needs to resolve staff names or avatars, but do not treat it as permission to save attendance edits.

Instructions

  1. 1.

    Open the attendance record

From Attendance filtered to Olivia Hart, or from a staff calendar, open the existing shift. The app routes the selected `staff_shift` event to `calendars/edit/:eventId?kind=staff_shift`.

  2. 2.

    Check employee and source

On `Editar asistencia`, confirm that the employee and attendance source are the expected ones. Both fields are read-only in edit mode, so this flow must not be used to reassign the shift or change how the record originated.

  3. 3.

    Adjust start or end

Change `Empieza` or `Termina` as needed. The time controls work in 15-minute steps and use Harbor Soho's timezone, Europe/London; keep the start earlier than the end.

  4. 4.

    Save the update

After making a real change, select the Save action (`Guardar` in the current app UI). Antylogic updates the existing calendar event and returns to the previous Attendance or calendar screen after a successful save.

  5. 5.

    Confirm the refreshed record

Back in Attendance or the staff calendar, check that Olivia Hart's shift shows the updated start and end time. The source should still be the original value.

  6. 6.

    Handle correction mode

If the same editor opens a pending correction, only the pending time is editable and the CTA changes to correction-resolution actions. Document rejection as resolving the correction, not as a separate persisted `rejected` status.

Validations and limits

  • The form needs both `selectedOrgId` and `selectedLocationId` before it can load the record.
  • The route must include an `eventId`, and the loaded event must have `kind === 'staff_shift'`.
  • Events from another location, empty ids and non-`staff_shift` records are treated as not found.
  • `staff-shifts:view` can load the detail; `staff-shifts:manage` is required to save this manager edit. `staff-shifts:notify` alone is not enough.
  • Employee and attendance source are read-only in edit mode and are preserved by the normal update flow.
  • Start and end must be valid date/time values, and start must be earlier than end. This form requires an end time for the edit flow.
  • No recurrence is supported for `staff_shift`, and the backend rejects attempts to change the event kind.
  • Save is disabled while the update is pending, while the form is invalid, or when no changes have been made.
  • Allowed source values are `manual`, `clock_in`, `import` and `correction`; implemented status values are `normal`, `correction_requested` and `correction_made`.
  • If the API returns an error, the operator stays on the form and sees the resolved error message.

Expected result

The existing `staff_shift` calendar event is updated, attendance and calendar caches refresh, and the operator can verify the corrected times without changing the employee or attendance source.
