How to create manual attendance

Record a completed manual attendance period for a staff member at the selected location, using Harbor Soho and Olivia Hart as the en-GB documentation example.

In this article

Manual attendance is used when a manager needs to record a completed clock-in and clock-out period after the work happened, for example when a shift was missed during service.

In Antylogic this is saved as a calendar event with kind staff_shift, source Manual and the selected staff member, so the attendance history refreshes from the same calendar-event data used by the operational views.

Before you start

  • An organisation and location are selected in the app session, for example Harbor Demo Group and Harbor Soho.
  • The staff member already exists in the selected location, for example Olivia Hart.
  • The operator has location permission staff-shifts:manage.
  • If the employee selector is shown, the operator can also view staff in the location.

Instructions

  1. 1.

    Open the attendance form

Start from Attendance, Attendance corrections, a staff calendar or a staff profile. The app opens the create calendar event screen for kind staff_shift and preset staff; from a staff profile, the employee is fixed by the route.

  2. 2.

    Confirm the employee

Choose the staff member whose attendance is being entered. When the form is opened from Olivia Hart's profile in Harbor Soho, the employee field is read-only and uses that staff member.

  3. 3.

    Enter start and end

Set the clock-in and clock-out date and time in the location time zone. For Harbor Soho, use Europe/London time; a clear documentation example is 2 June 2026 from 08:00 to 16:00.

  4. 4.

    Create the attendance

Check that the attendance source is shown as Manual. The source is not editable for normal manual creation. Press Create attendance to save the record.

  5. 5.

    Review the result

After a successful save, the app confirms the event was created, refreshes calendar-event data and returns to the configured route. In Olivia Hart's attendance panel, the manual shift should appear in the attendance history.

Validations and limits

  • A location must be selected before the form can be used.
  • Manual creation requires staff-shifts:manage; staff-shifts:notify is not enough.
  • An employee is required before the record can be created.
  • Both start and end must be valid date/time values, and the end must be later than the start.
  • The time picker uses 15-minute increments for start and end.
  • The save button is disabled while the form is invalid or a create, update, delete or notification request is pending.
  • The saved item is a non-all-day calendar event with kind staff_shift and source manual.
  • If saving fails, the form stays open and shows the API error or the generic creation error.

Expected result

The completed attendance period is stored for the current location and staff member as a staff_shift calendar event with source Manual, then the attendance views refresh from the updated calendar-event data.
