How to view a staff profile

Use the staff profile to check an employee's operational record at the active location, including the header, contact details, On location status, upcoming services, attendance, vacations and absences when permissions and data allow them.

In this article

The staff profile is a read-only view for checking staff context before making operational decisions. It brings together identity, role, contact details, current location status and the staff records the signed-in user is allowed to see.

In the GB documentation demo, use Olivia Hart at Harbor Soho. If a section is missing, treat it as a permission or empty-data result unless the screen shows a specific not-found or permission message.

Before you start

  • The user is signed in to Antylogic.
  • Harbor Demo Group and Harbor Soho are selected in the app context for the GB demo.
  • To view another employee, the employee must belong to the active location. Use Olivia Hart at Harbor Soho for the demo example.
  • To view the user's own profile, the signed-in user must be linked to a staff record at the active location.
  • The user's role includes the permissions for the sections being reviewed: `staff:view` or `staff:manage` for the base profile, plus the relevant schedule, attendance, vacation and leave permissions for the related sections.

Instructions

  1. 1.

    Open the staff profile

Open the employee profile from the staff area, a staff-related shortcut or the `staff/profile/:staffId?` deep link. When the route has no `staffId`, Antylogic attempts to open the staff profile linked to the current user.

  2. 2.

    Confirm the employee

Use the header to verify the avatar, name, role, email and phone before reviewing operational records. The On location badge appears when the profile reports an open staff shift for the employee.

  3. 3.

    Review upcoming services

Open Upcoming services when it is visible. The profile shows services scheduled for today, or the next available day in the returned profile data when there are no services today.

  4. 4.

    Review attendance this month

Open Attendance this month to compare worked hours with planned hours and inspect the current month's rows. Status labels distinguish registered attendance, pending corrections, corrected rows and open shifts.

  5. 5.

    Review vacations and absences

Open Vacations this year to inspect annual vacation records and their status. If absence rows exist, the profile also shows staff leave registered during the current year.

  6. 6.

    Interpret hidden sections

Missing sections are controlled by the backend visibility contract and by usable profile data. Access to the base profile does not grant access to attendance, vacations, absences or upcoming services.

Validations and limits

  • If the selected location is missing, the screen shows "We couldn't find the selected location."
  • If the route has no `staffId` and the user is not linked to staff at the location, the screen shows "There is no employee profile linked to this user."
  • A `staffId` from another location is treated as not found.
  • The header for another employee requires `staff:view` or `staff:manage`.
  • Upcoming services require `staff-schedule:view` or `staff-schedule:manage`.
  • Attendance requires `staff-shifts:view` or `staff-shifts:manage`.
  • Vacation information requires `vacation:view` or `vacation:manage`.
  • Absence information requires `staff-leave:view` or `staff-leave:manage`.
  • Rows with required dates that cannot be parsed are not shown.
  • The Absences section is hidden when there are no rows, even if the user has permission.
  • If all visibility flags are false, the screen shows "You don't have permission to view data in this profile."
  • `staff.view-profile` is read-only; related create attendance or vacation buttons open separate actions.

Expected result

The operator can confirm the employee and review the allowed staff schedule, attendance, vacation and absence records without changing staff or calendar data.
