View Employee Calendar

Use the Staff calendar to review one employee's planned shifts, service schedules, holidays, leave and shared blackout constraints without editing schedule data.

In this article

The Staff calendar gives managers and shift planners one place to review how an employee's rota fits the wider location schedule. In the GB demo, the filtered example is Olivia Hart at Harbor Soho.

This guide focuses on review-only work: opening the employee calendar, checking the staff filter, comparing it with the team view and opening a staff schedule entry in read-only mode.

Before you start

  • You are signed in with an organisation and location selected, such as Harbor Demo Group and Harbor Soho.
  • Your role has effective location permission for at least one staff calendar family: `staff-schedule:view`, `staff-schedule:manage`, `staff-shifts:view`, `staff-shifts:manage`, `vacation:view`, `staff-leave:view`, `staff-leave:manage` or `vacation-blackout:view`.
  • To open the filtered demo example, the runtime provides `STAFF_ID` for Olivia Hart at Harbor Soho.
  • The calendar needs a visible date range. If no mode or date is supplied, it opens in month mode on the current date.

Instructions

  1. 1.

    Open the Staff calendar

Open `calendars/staff/${STAFF_ID}?mode=week&startDate=${SERVICE_OCCURRENCE_START}` from the calendars area or a deep link to view Olivia Hart's week at Harbor Soho.

  2. 2.

    Confirm the employee filter

Check that the page is scoped to the intended location and employee. With `staff_id` present, individual staff events are limited to Olivia Hart while location holidays and applicable blackout events remain visible.

  3. 3.

    Review schedule and availability

Use the visible calendar range to review shifts, service schedules, staff holidays, leave, holiday blackouts and location holidays. Service schedule entries are derived from their parent service and may appear under the service title, such as Soho lunch service.

  4. 4.

    Change date or view

Use the calendar controls to move between day, week, month and year, change the visible date and refresh the data. The app loads the visible range and may prefetch nearby calendar data.

  5. 5.

    Open event details

Select an event when you need more context. `staff_schedule` entries open in read-only mode and cannot be edited from this action.

  6. 6.

    Compare with the team view

Open `calendars/staff` without an employee id to see the same Staff calendar for the whole location and compare Olivia Hart's schedule with the wider rota.

Validations and limits

  • `mode` only accepts `day`, `week`, `month` or `year`; otherwise the screen uses month mode.
  • `staffId` and `staffName` are trimmed, and empty values are treated as not supplied.
  • The page does not load events when the selected organisation, selected location or page-level view permission is missing.
  • The Staff calendar preset shows `staff_shift`, `staff_schedule`, `staff_vacation`, `staff_leave`, `vacation_blackout` and `location_vacation`.
  • With `staff_id` present, `staff_shift`, `staff_schedule`, `staff_vacation` and `staff_leave` entries must match the selected employee.
  • `location_vacation` and `vacation_blackout` are shared events; blackout entries remain only when they apply to the employee or role.
  • `staff_schedule` entries are valid only when their `parent_event_id` points to a service calendar event.
  • If the feed route fails in a recoverable way, the app falls back from `GET /calendar-events/feed` to `GET /calendar-events`.
  • Calendar event ranges are required, and the end date cannot be earlier than the start date.
  • Direct schedule routes for `/staff/{staffId}/schedule` are registered but return `501 Not Implemented`, so they are not the operational flow.

Expected result

The manager can review Olivia Hart's staff calendar in context, compare it with the Harbor Soho team calendar and open staff schedule details without creating, editing or deleting calendar entities.
